Instructions

Protocol! is an online service for running fencing sparring sessions and small competitions.

All entered results become instantly available to all participants and spectators.

Formula

The service provides two main working formulas designed for different tasks and levels of competition.

Fencing Practice

This formula is intended for training bouts, sparring, and internal practice sessions. It is ideal for a quick start without complex setup.

  • fast participant entry,
  • quick result input,
  • simultaneous work with the protocol from multiple devices,
  • minimum settings without complex tournament stages.

Workflow

  1. When creating a new event, select the Formula — Fencing Practice.
  2. If necessary, share the tournament link with editing rights with other participants so everyone can enter results.
  3. Add the required number of groups and participants.
  4. Enter participants’ last and first names directly into the group rows.
  5. Enter bout results in the pool stage as the bouts are completed. Rankings after the pool stage are recalculated automatically after each entered bout.
  6. After the pool stage is finished, select the percentage of eliminated athletes.
  7. Enter the results of the direct elimination stage as it progresses — the final protocol is generated automatically after each bout.

Working with Participants

Adding and removing participants is possible at any time until the first result in the direct elimination stage is entered.

Attention: when a participant is removed, all of their results are deleted without the possibility of recovery.

After the first direct elimination bout result is entered, editing pool results is blocked. If you need to correct pool results, first remove all entered direct elimination results.

Add Participant

Click this button to add a new row to the participant list.

Remove Participant

Click this button to remove the selected participant. In the popup window, confirm the removal of the participant and all their results.

Working with Groups

After confirming the start list, click the “Create Pools” button. Groups will be formed automatically in accordance with FIE rules based on the seeding (set in the “Start List”) and the athlete’s club. The algorithm tries to avoid placing athletes from the same club into the same group.

Add Group

Click this button to add a new group in the pool stage.

After groups are formed, manual movement of participants between groups is not allowed. To move an athlete to another group, change their seeding and regenerate the groups.

To remove a participant and their results, use the remove button. Three types of removal are available:

  • DNS — the athlete did not fence any pool bout (did not start),
  • DNF — the athlete fenced at least one bout but withdrew voluntarily,
  • EXC — the athlete was disqualified.

Before the direct elimination stage begins, the removal action can be undone, but all bout results must be re-entered — they are not restored automatically.

In the “Piste Management” window, distribute bouts across pistes. See the “Piste Management” section for details.

If a paper protocol is required, you can print all referee sheets in the “Piste Management” window using the “Print Referee Sheets” button.

It is recommended to enter results online — this significantly speeds up the tournament process.

For convenience, a referee can press a special button so that only their group is displayed in the protocol.

Entering, editing, and deleting pool stage results is performed in the same way as in the “Fencing Practice” formula.

Select the percentage of eliminated athletes on the “Seeding” tab immediately after groups are formed.

Working with Direct Elimination

To enter a bout result, click on the required bout and enter the result.

Editing a result is only possible if no result has yet been entered in the next round along this branch. For example, it is impossible to change a T8 result if the corresponding T4 bout result has already been entered.

Tournament

This formula is intended for full-scale competitions with stages, refereeing, and result publication.

  • working with the start list,
  • adding additional athlete data (region, club, rank, coach, year of birth),
  • working with pools and direct elimination,
  • distribution of athletes into groups in accordance with FIE rules,
  • assignment of bouts to pistes and time slots, appointment of referees,
  • generation of referee sheets for printing,
  • online publication of results for spectators,
  • generation of PDF protocols and reports.

Workflow

  1. Create a tournament and define its main parameters.
  2. Specify the positions and full names of the responsible officials (signatures in the final protocol).
  3. Add a preliminary list of participants via CSV file or manually.
  4. Mark athlete attendance and define the maximum number of athletes per group.
  5. Distribute athletes into groups.
  6. Assign groups to pistes and time slots; appoint referees if necessary.
  7. Conduct the pool stage and enter the results.
  8. Proceed to direct elimination after the pool stage is completed.
  9. Assign direct elimination bouts to pistes and time slots; appoint referees if needed.
  10. Enter the results of the direct elimination bouts.
  11. Publish the results for spectators and generate final PDF documents.

Working with Participants

On the “List” tab, add a preliminary list of participants via a CSV file or manually.

Format for all age categories except veterans:

Last name,First name,Region,Club,Year of birth,Rank,Coach,Category

Format for the “veterans” age category:

Last name,First name,Region,Club,Year of birth,Rank,Coach

After inserting the list, click the “Add list” button. If necessary, remove the empty first row (it is created by default).

On the tournament day, mark each athlete’s attendance as they register.

Conduct roll call or publish a link to the start list so that athletes can independently check their presence in the entry list.

Sort the participants according to their seeding — by dragging rows by their number in the “Start List” or by preparing the CSV file in the desired order before uploading.

Editing participant data (in case of an error or typo) is possible until the start of the direct elimination stage.

Working with Groups

After confirming the start list, click the “Create Pools” button. Groups will be formed automatically in accordance with FIE rules based on the seeding (set in the “Start List”) and the athlete’s club. The algorithm tries to avoid placing athletes from the same club into the same group.

After groups are formed, manual movement of participants between groups is not allowed. To move an athlete to another group, change their seeding and regenerate the groups.

Entering, editing, and deleting pool stage results is performed in the same way as in the “Fencing Practice” formula.

Select the percentage of eliminated athletes on the “Seeding” tab immediately after groups are formed.

Working with Direct Elimination

After all pool stage results are entered, the direct elimination table is generated automatically.

Entering, editing, and deleting direct elimination results is performed in the same way as in the “Fencing Practice” formula.

Access Rights

The service provides two access levels: viewer and editor (participant). They determine whether a user can only view results or also make changes.

Editor (participant)

An editor has the right to make changes to the protocol: add participants, enter and edit bout results, and manage the progress of the tournament or practice.

  • entering and editing bout results,
  • adding and removing participants,
  • working with groups and tournament stages.
Be careful when sharing a tournament link. By default, the Share button creates a link with editing rights. Anyone who has this link will be able to modify bout results.

Viewer

A viewer has read-only access and cannot make any changes to the protocol.

  • viewing results in real time,
  • access to brackets and tournament progress,
  • viewing bout history without editing rights.

To obtain editing rights, contact the tournament organizer and request a special editor access link.
